AgentMethods, LLC ("SureBook", "AgentMethods", "we", or "us") recognizes that you care how information about you is collected and used. We have created this Privacy Policy to inform you of our information collection, use, and sharing practices for this website and the associated services (the "Services"). In this Privacy Policy, "you" refers to individuals who use the Services. By using the Services, you consent to the processing of your information as described in this Privacy Policy.
What information do we collect and how is it used?
Information You Voluntarily Provide
For purposes of this Privacy Policy, "Personal Information" is information that you provide to us that may be used to identify you, such as your full name, physical address, email address, or phone number. Except as otherwise provided in this Privacy Policy, we do not collect Personal Information through the Services unless you voluntarily submit it. We use Personal Information to provide the Services and information you have requested and for administrative and analytical purposes. For example, unless otherwise prohibited by law, the Personal Information may be used to contact you (by telephone, regular mail, email, facsimile or other means) to answer your questions or respond to your comments, to send you information about our products and services, to provide emails, newsletters and other communications, to conduct market research, to ensure compliance with our policies and applicable laws and regulations, and to market our products and services.
AgentMethods LLC maintains strict privacy policies to protect the personal information of our users obtained for text message communications. This information is never sold, rented, released, or traded to others without prior consent or legal obligation. Any sharing of information with third parties is solely for the purpose of fulfilling the organization's obligations to the user. We do not sell Personal Information for monetary consideration. We may share Personal Information with service providers and partners for business purposes described in this Policy. To the extent such sharing is considered a "sale" or "sharing" under applicable law, you may opt out as described below.
Role of AgentMethods
In many cases, we process Personal Information on behalf of our customers (such as insurance agents) in connection with the Services. In those cases, we act as a service provider or processor, and the customer is responsible for determining how Personal Information is collected and used.
Data Retention
We retain Personal Information for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements, unless a longer retention period is required or permitted by law.
Your Privacy Rights
Depending on your state of residence, you may have the right to access, correct, or delete Personal Information, and to opt out of certain uses of your Personal Information. To exercise these rights, please contact us using the information below.

We may send communications where permitted by law. You may opt out at any time by following unsubscribe instructions. Customers using the Services are responsible for ensuring their communications comply with applicable laws.
Information We Automatically Collect
Like many websites, we use "cookies" and other tracking technologies to collect certain information automatically whenever you visit our website. Cookies are files stored on your computer's hard drive by your browser. Most browsers accept cookies automatically but allow you to disable them. If you choose to disable cookies, you may be unable to use certain features of our website.
Information we collect through the use of cookies and other tracking technologies may include your IP address, location of your computer (but not your street address), browser information, operating system type, and dates and times you accessed our website. We may also collect information regarding traffic patterns, how you came to our website, and site usage. This information is used for analysis and for online marketing.

They use this information to provide advertisements about products and services tailored to your interests. You may see these advertisements on other web sites. This process also helps us manage and track the effectiveness of our marketing efforts. Is information collected from children?
Our website is not intended for use by children. If you are under the age of 18, you should not use our website and should not submit any information of any kind to us.
With whom do you share information?
We engage third parties to perform services in connection with the operation of our business. Examples of these services include, but are not limited to, hosting and maintenance of our website, data storage and recovery, maintaining mailing lists, website evaluation, data analysis, data cleansing, and marketing assistance. We may provide information regarding you, including Personal Information, to these third parties, such as hosting providers, analytics providers, marketing partners, and professional advisors.
We may also share Personal Information you provide to us with insurance and financial service providers in order to provide you with information about the availability and pricing of products and services. We may share non-Personal Information with others from time to time. Examples of such non-Personal Information include the number of users who visited our website during a specific time period. This information is shared in an aggregate form.
We reserve the right to transfer any information we have about you, including Personal Information, in connection with the sale or transfer of all or a portion of our business or assets to a third party.
We may also share information, including Personal Information, with third parties as described elsewhere in this Privacy Policy.
In addition, we, or those with whom we have shared information in accordance with this Privacy Policy, may release Personal Information and/or non-Personal Information if we believe in good faith that: the law or legal process requires it; we have received a valid administrative request from a law enforcement agency; or such release is necessary or advisable to protect the rights, property or safety of us or our clients, our website visitors, or others.
What do you do to protect Personal Information?
We use various security measures, including a firewall, to protect Personal Information we collect through our website. However, no data transmission or information system can be guaranteed to be secure. We do not warrant the security of any Personal Information you submit to us and all such transmissions are at your own risk. We implement reasonable administrative, technical, and physical safeguards designed to protect Personal Information. However, no system is completely secure, and we cannot guarantee absolute security.
Your California Privacy Rights
Subject to certain limitations, the California Consumer Privacy Act ("CCPA") provides California consumers the right to request to know more details about the categories or specific pieces of Personal Information we collect (including how we use and disclose this information), to delete their personal information, to opt out of any "sales" that may be occurring, and to not be discriminated against for exercising these rights. We do not sell the Personal Information we collect to third parties for money or any other consideration, as that term is generally understood. However, the CCPA's definition of "sale" is very broad and might be construed to include the following:
- Our customers use our Services to host their websites and to perform marketing services, such as when they conduct marketing campaigns regarding insurance services. Of course, this is part of the service our customers pay us to provide for them. We don't believe that is deemed a "sale" of Personal Information under CCPA but we note this here for completeness. You may request that we remove your Personal Information as described above. We do not manage our customers' contact lists, so if applicable we would forward your request to the appropriate customer(s).
- Situations where browsing data is sent to referral advertisers — when you click on an ad that sends you to our website, we send a hashed identifier to the referring site so they can receive credit for the referral. We, along with millions of other sites, use these services. While we limit the information sent to what is needed to properly record the referral, the fact that you clicked on the link and visited our website may be added to your profile by the ad publisher. You have the right to opt out of this by sending us a request as described above.
What happens when I link from or to another Web site?
Our website may contain links to other websites operated by third parties. This Privacy Policy does not apply to information collected through these other websites. If you have accessed our website through a link from another website, our website may include a frame. The information you provide to us through these framed pages is collected by us and this Privacy Policy governs our use of such information.
Google User Data
SureBook offers an optional integration that lets you connect your Google account so that SureBook can read, organize, draft, and send email on your behalf as part of the email workflows you initiate within the Services. This section describes how SureBook accesses, uses, stores, shares, retains, and protects data obtained through Google APIs ("Google User Data"). It supplements the rest of this Privacy Policy; where this section and the general provisions differ with respect to Google User Data, this section controls.
SureBook's use of Google User Data is governed by the Google API Services User Data Policy, including its Limited Use requirements.
What Google data we access
When you connect your Google account, you authorize SureBook to access specific categories of data through the following OAuth scopes:
- userinfo.email and userinfo.profile — your email address, name, and unique Google account identifier (uid), used to identify you and to display your connected account.
- gmail.readonly — read access to messages in the connected mailbox, including each message's sender, recipients, subject, body, headers, message ID, thread ID, and attachments.
- gmail.modify — the ability to create drafts, send messages, reply to messages, and apply changes to messages (such as labels, marking as read, and archiving) when you direct SureBook to do so.
We request only the scopes required to provide the features described below, consistent with the principle of minimum necessary access.
How we use Google data
We use Google User Data solely to provide and operate the mailbox-integration and email-workflow features you request within the Services:
- Account identification and sign-in. At sign-up and login we use your email address, name, and uid to create and identify your SureBook account and to associate connected mailboxes with that account. These attributes are stored in our database against your user record.
- Connecting a mailbox. When you connect an email integration, we use your email address and name to identify and display the connected account within the application.
- Reading and synchronizing email. After you connect a mailbox, we read existing messages and, with your authorization, establish a notification channel (a Google Pub/Sub webhook) to receive new incoming messages. We read the message contents listed above in order to synchronize communication threads, surface relevant messages, and support the email workflows you enable.
- Acting on email. When you direct SureBook to do so, we create draft replies, send new messages, send drafts, reply to messages, and apply Gmail actions such as labeling, marking as read, and archiving. We retain records of messages sent through SureBook.
We do not use Gmail data for advertising or marketing purposes, and we do not use Google User Data for any purpose other than providing the user-facing features described in this Privacy Policy.
How we disclose Google data
We do not sell Google User Data, and we do not transfer or disclose it to third parties except as necessary to provide the features you request, and only to the limited extent described here:
- AI processing (Amazon Bedrock). To interpret and assist with your email, the subject, body, sender, and recipient fields of a message may be processed through foundation-model APIs provided by Amazon Bedrock. We do not send message headers, message IDs, or thread IDs to these APIs. Amazon Bedrock does not use customer inputs or outputs to train its foundation models, and SureBook does not use Google User Data to train or fine-tune any AI or machine-learning model.
- Attachment transcription (AssemblyAI). Where a message includes an audio attachment, we use AssemblyAI to transcribe that audio into text so it can be used within your workflows.
- Connected CRM systems. When you connect a CRM (such as MedicarePro or GoHighLevel, and their authorized connected applications), SureBook may send contact attributes, notes, and relationship information that it derives from interpreting your messages to that CRM. We do not transmit the raw message contents to these CRM systems.
These providers act as our service providers and are permitted to use the data only to perform services for SureBook.
How we use Google data with AI and machine learning
We want to be explicit on this point because it is important to our users and to Google: no Google User Data is used to train, fine-tune, or develop any generalized or personalized artificial intelligence or machine-learning model. We do not build or contribute to AI/ML models using Google User Data. AI processing is performed through Amazon Bedrock foundation-model APIs solely to provide features within the Services, and Amazon Bedrock does not use customer inputs or outputs to train its base models. SureBook does not use fine-tuned models trained on user data.
Data retention and deletion
We retain Google User Data for as long as your account and the relevant integration remain active and as needed to provide the Services. You can manage and delete your data as follows:
- Disconnect your Google account. Disconnecting removes the integration identity information (such as the email address and name) used to display the connection. Disconnecting does not, by itself, delete messages previously fetched from that mailbox.
- Move to trash. Moving a message to trash within SureBook marks it as deleted; the message data is retained in our database in a soft-deleted state.
- Clear trash. Clearing trash permanently deletes the associated message data — including subject, body, sender, recipients, and attachments — from our database.
- Request full deletion. You may request deletion of all of your Google User Data and account data at any time by contacting us at the address below. On such a request, we will delete your Google User Data; we do not require the retention of this information after account deletion. We may retain limited records where required by law.
You can also review and revoke SureBook's access to your Google account at any time through your Google Account permissions page at myaccount.google.com/permissions.
How we secure Google data
We take reasonable and appropriate measures to protect Google User Data against unauthorized or unlawful access, use, alteration, destruction, loss, or disclosure:
- All connections between your browser, the Services, and the external systems we integrate with are made over encrypted HTTPS/TLS, so Google User Data is protected in transit.
- Our application databases and servers operate within an isolated private network (an AWS Virtual Private Cloud) that is not directly accessible from the public internet.
- Access to stored data is limited to a small number of authorized personnel who require it to operate, support, or debug the Services, and to a restricted set of administrative accounts within the application. We limit and monitor such access.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Limited Use disclosure
SureBook's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. The use of information received from Google Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements.
If we change the way SureBook uses Google User Data, we will update this Privacy Policy and, where required, prompt you to consent to the change before the new use takes effect.
How will I be informed about changes to this Privacy Policy?
Our Services will continue to evolve to bring you new features and implement technological advances. As a result, we may change this Privacy Policy from time to time without prior notice. If we make material changes, we will provide notice as required by applicable law. Revised versions of this Privacy Policy will be posted on our website, together with an updated effective date. By continuing to use the Services after we post any such changes, you accept the Privacy Policy as modified.
